How often should you actually check your brand mentions?
The honest answer is: as often as you can act on what you find, and no less than your risk requires. Cadence is a design decision, not a virtue contest.
The three-tier model
- Real time, for the things that cannot wait: severity alerts, complaint clusters, anything gathering momentum. This tier should be automated; no human refreshes feeds well.
- Daily, for the response queue: a ten-minute morning pass over yesterday's mentions, replying where needed. This is the habit that moves ratings, because response speed is the metric customers notice.
- Weekly and monthly, for the sense-making: trends, themes, share of voice, what to fix and feature. This is a report and a meeting agenda item, not a feed.
Matching cadence to reality
A two-person trades business does not need real-time dashboards; it needs the daily ten minutes and a phone alert if something unusual happens. A venue in event week needs near-live attention. A multi-site brand needs all three tiers with named owners per tier.
The failure modes
Checking constantly without acting is anxiety, not monitoring. Checking monthly means every response arrives cold, after the audience has moved on. And the most common failure: cadence that depends on one person remembering. Put the routine in the calendar, automate the urgent tier, and the system survives holidays.
